Wilco helps healthcare clinics get more treatment plans signed.

Turn the interest you already generate into patients who attend, accept their treatment plan and come back.

1M+recorded interactions

Call attempts and conversation starts, across the clinics we work with.

One patient journey.
Every next step, connected.

One conversation rarely gets a patient there. Wilco connects the calls, messages and follow-up until the patient’s enquiry is resolved, not just until a sequence runs out.

1 / 4

Reach the people who already want your care.

A call, a message, a form, an ad. Wherever interest starts, pick up the conversation while it’s fresh and keep the enquiry moving towards a resolution.

From an enquiry to a booked appointment.

Every enquiry has a next step.

Enquiry resolved

Every way in. One conversation.

Connect the entry points your patients already use.

    No answerThe enquiry stays open.
  2. WhatsApp Sent a message to find a better time.
  3. Patient replies I’m at work. Could you call after six?

Spoke with the patient and booked the visit.

Each reply updates the flow and guides the agent’s next step.

Change the time, channel or next step as the conversation develops. Keep following up until there’s a clear resolution, within your clinic’s contact rules.

See the follow-up sequence

An example, not a fixed script. Your clinic sets the channels, cadence and human handoffs.

  1. An enquiry comes in

A call, message, form, social comment or ad starts the conversation.

  2. Make the first connection

Respond on the incoming channel or call back, according to your clinic’s rules.

  3. No answer? Offer another way to reply

Follow with a WhatsApp or SMS where appropriate. Keep the original enquiry in context.

  4. Adapts & continuesKeep following up, not starting over

Try the next agreed time and channel. Each reply updates the next action; a callback request pauses the cadence.

  5. Human handoffBring in your team when needed

A patient asks for a person, a question needs judgement or an attempt limit is reached. Pause and hand over the context.

  6. Resolve the enquiry

Book the visit, answer the enquiry or record the patient’s decision. A booking moves to reminders; an opt-out stops outreach.

No reply is not a resolution. At the contact limit, pause outreach and flag the enquiry for review.

Get them through the door.

Confirm the visit, adapt when plans change and recover missed appointments. A booking only counts as a visit when the patient attends.

Stop asking once they confirm. Check attendance with the clinic after the visit.

Confirm appointments by WhatsApp, SMS and voice. Each reply changes the next action; unconfirmed visits move to the next permitted channel. Your clinic sets the timing and contact rules.

An example, not a fixed script. Your clinic sets the channels, cadence and human handoffs.

  1. A booking starts the reminder flow

Use the appointment date, clinic and agreed contact preferences.

  2. Confirm and help them prepare

Send the practical details and ask the patient to confirm or request a change.

  3. Adapts & continuesFollow up on an unconfirmed visit

Use the next agreed channel and time. A reply can confirm, reschedule or cancel the visit.

  4. Human handoffHand over questions that need a person

Your team handles clinical preparation questions and exceptions, with the conversation context.

  5. Check what actually happened

Confirm attendance from the clinic record. A verified missed visit branches into recovery.

  6. Continue from the consultation

An attended visit can lead to a prescribed treatment plan. If it is pending, start the appropriate treatment follow-up.

A confirmation is not attendance. Unknown outcomes stay open for verification.

Turn first visits into lasting relationships.

Bring patients back for overdue check-ups, unfinished treatments and their next stage of care. Make it easy for them to recommend your clinic.

From one visit to an ongoing relationship.

What happens next?

Recall follows the clinic’s care schedule. Patients who book a return visit move back into reminders.

See the follow-up sequence

An example, not a fixed script. Your clinic sets the channels, cadence and human handoffs.

  1. A review is due, or treatment is unfinished

Start from the clinic’s care schedule and the patient’s record.

  2. Reach out with a reason to return

Explain the next visit using the clinic’s approved context and the patient’s contact preferences.

  3. Adapts & continuesFollow up if the invitation goes unanswered

Use the agreed cadence across permitted channels. A reply updates the plan; an opt-out stops outreach.

  4. Human handoffYour team handles care questions

If the patient’s situation has changed or they need clinical advice, hand over before continuing.

  5. Book the return visit and start reminders

Follow the new appointment through to a verified attendance outcome.

  6. Continue the relationship at the right time

The next recall follows the care plan, not an automatic endless campaign.

The care schedule determines when to reconnect. Contact limits and patient preferences determine how.

Judge the result.
Not the number of calls.

Agree the baseline. Follow the same patients. Measure what changed between interest and treatment.

Keep your clinic software.
We’ll connect Wilco.

Your team keeps the patient records, calendar and CRM it already uses. We connect the information Wilco needs to follow through with patients, without replacing those systems.

Meet our deployment approach
  1. Map what needs to connect.

Start with one journey. Identify where enquiries arrive, where appointments live and how your team records attendance and treatment decisions.

  2. We handle the connection.

We work with your team and software provider to agree the access, permissions and integration route. You approve the workflow and when a person takes over.

  3. Test it before patients depend on it.

Check the records, updates and handoffs end to end. Start with the agreed scope, measure the outcome and expand from there.

Different systems need different connections. We confirm what can be read, updated and automated before agreeing the rollout.

A few things worth asking.

What is Wilco?

Wilco provides AI voice and messaging agents for healthcare clinics and groups. It connects enquiry follow-up, appointment reminders, treatment-plan follow-up and patient recalls, with integrations and human care support tailored to each clinic.

Was Wilco previously called Doppel?

Yes. Wilco was previously called Doppel. Our healthcare patient-follow-up platform is now called Wilco, and getwilco.ai is our current website.

Is Wilco just an appointment-booking assistant?

No. Booking is one step. Wilco follows the journey through attendance, pending treatment plans and return visits, using phone and WhatsApp follow-up to help patients take the next step.

What happens when a patient doesn’t answer?

One missed call does not close an enquiry. Wilco follows the channels, timing and attempt limits agreed with your clinic. A reply changes the next action; a requested callback pauses the cadence. If attempts are exhausted, the enquiry stays unresolved for review, not marked as converted. A decline or opt-out stops conversion outreach.

Will this work with our clinic software?

You do not need to replace your clinic software to explore Wilco. Tell us what you use. We work with your team and provider to confirm the connection, access and updates your workflow needs. Compatibility and timing depend on your system and the scope. See how we connect Wilco.

How does financing fit in?

When cost is a barrier, Wilco can introduce the available financing options as part of treatment follow-up. Eligibility, approval and terms depend on the financing provider. Financing is not the answer for every patient.

Does Wilco replace our care team?

Wilco can work with your care team, or provide the human team too. Our team can take over patient conversations, handle follow-up and coordinate next steps, with the full context and handoff rules agreed with your clinic. It’s service as software: the technology and the people to run the follow-up, without another team for you to manage. Clinical questions and treatment decisions stay with your clinicians.

What counts as a signed treatment plan?

A patient’s acceptance recorded by the clinic. It is tracked separately from payment and treatment start. We agree the definitions and available source records before measuring results.
